e-YS
e-YS is our database system for the recording and reporting of youth activities. In addition the system allows for the planning and evaluation of youth projects and sessions as well as the recording of young person, staff and volunteer attendance.
A change to note
An eYS change has taken place on the sessions screen for 'Delivery Centre/Location' - the field has now been made mandatory.
Usage of this field will enable reporting on the number of sessions taking place at any particular centre over given periods of time.
Note that only the centre where the session took place should be entered here. For instance, if a Fairbridge owned project took place in Lambeth college, the 'Delivery Centre/Location' should be Lambeth College. The centre in the Project page would be Fairbridge, as they own the project.
Implementation workshops
Thanks go to all providers who have attended the workshops sessions.
Providers commissioned by the SCU-Youth Section are all aware that they will imperatively need to supply their monitoring returns through e-YS. It will be impossible to process the documentation and corresponding payments if this is not done.
The e-YS helpdesk is at your disposal to answer any query.
e-YS surgeries
Most providers commissioned by SCU - Youth Section are now confidently using the e-YS system. Further to their monitoring returns, this package has multiple uses, not least being able to help with rapid and targeted information retrieval, e.g. for funding purposes. However, should you feel the need for a dedicated and supervised hands-on session, please note the sessions below:
- Every first Friday of the month from 9.30am to 2.30pm
The computer suite in the Old Library (Exact location to be confirmed)
The e-YS Support Clinics are on a first come, first serve basis and will be facilitated by members of the e-YS team. Please ensure to email the e-YS Helpdesk (contact below) to book your place.
e-YS steering group
We have approached providers who have expressed an interest in playing a role in collaborating with us and other providers in:
- Shaping the use of this new system
- Informing implementation to the format
- Representing Lambeth Commissioned providers
- Commenting on the forthcoming Integrated Youth Support Services (IYSS) system
- Express recommendations to improve the system
- Provide relevant information on system updates; e.g.
with regard to the status of development features; or
any issues around bugs in the system
- Share best practice and use the system effectively
- Improve collaboration between providers and our e-YS team
- Gather intelligence for improved system support and training
We are grateful to these lead agencies for coming forward for a more active participation in our commissioning programme. Should your organisation also wish to play a role get in touch with your commissioning officer. We welcome a positive and active collaboration with our providers.
